Gmail and Yahoo Bulk Sender Requirements: The 2026 Checklist
If you send close to 5,000 or more emails a day to personal Gmail accounts, Google treats you as a bulk sender. You must authenticate with SPF and DKIM, publish DMARC, offer one-click unsubscribe, and keep your user-reported spam rate below 0.3%, ideally under 0.1%. Yahoo applies very similar rules.
Who counts as a bulk sender?
Google defines a bulk sender as anyone sending close to 5,000 messages or more to personal Gmail accounts within 24 hours. Messages from the same primary domain count together, so subdomains don't reset the count (Google's sender guidelines FAQ).
The rules apply to mail sent to personal Gmail accounts, not to Google Workspace business addresses. Yahoo doesn't publish a fixed number.
The checklist
| Requirement | All senders | Bulk senders | How to check |
|---|---|---|---|
| SPF or DKIM authentication | Required | Both SPF and DKIM | Gmail "Show original" |
| DMARC record published | Recommended | Required | DNS lookup for _dmarc.yourdomain.com |
| DMARC alignment | Recommended | Required | From domain matches SPF or DKIM domain |
| One-click unsubscribe (RFC 8058) | Recommended | Required for marketing mail | List-Unsubscribe and List-Unsubscribe-Post headers |
| Visible unsubscribe link in body | Recommended | Required for marketing mail | Read the email |
| Unsubscribes honoured within 2 days | Recommended | Required | Test it yourself |
| Spam rate under 0.3% | Required | Required | Google Postmaster Tools |
| Valid reverse DNS on sending IPs | Required | Required | Handled by SES on shared IPs |
| No impersonating gmail.com in From | Required | Required | Use your own domain |
What happens if I break the rules?
Gmail increasingly rate-limits or rejects non-compliant mail, often with error codes naming the failed check. If your spam rate goes above 0.3%, Google won't help you with delivery issues until it stays below 0.3% for 7 consecutive days.
How do I keep my spam rate under 0.1%?
- Only email people who opted in, ideally with double opt-in
- Make unsubscribing easier than marking as spam
- Remove people who haven't opened or clicked in 6 months
- Send what you promised, at the frequency you promised
- Watch Google Postmaster Tools weekly
Does Microsoft have similar rules?
Yes. Microsoft introduced comparable requirements for senders of more than 5,000 messages a day to Outlook.com, Hotmail and Live addresses. Meeting Gmail's rules covers most of them.

FAQ
Do these rules apply if I send fewer than 5,000 emails a day?
The bulk-sender extras don't, but all senders still need SPF or DKIM and a spam rate under 0.3%.
Do transactional emails need one-click unsubscribe?
No. The one-click unsubscribe rule applies to marketing and promotional messages.
Is a link in the footer enough for one-click unsubscribe?
No. Gmail means the List-Unsubscribe header, plus a visible link in the body.
Where do I see my Gmail spam rate?
In Google Postmaster Tools after verifying your domain. It is calculated daily.
